What is Workpool?
Workpool is a smart mailbox for teams that grows into the system you run your business on. Email, tasks, projects, chat, customers and calendar sit in one workspace with AI that sorts, summarises and drafts your mail, and you switch on the business tools your trade needs, from invoices and a till to bookings, jobs and deliveries.
Which email accounts work with Workpool?
Gmail, Microsoft 365, Outlook.com, Exchange and any mailbox that supports IMAP. You can connect more than one.
Is there a free trial?
Yes. Every new workspace gets a 7-day trial of every feature, with no credit card required. After the trial you stay on the free Starter plan unless you choose a paid one.
Which plan do I need for the business tools?
Mail, projects, chat, calendar and the AI assistant work on the free Starter plan. Quotes and invoices, payments, the till, the online store, bookings, jobs and the other business tools need the Professional plan (R299 a month), Business or Enterprise. On a lower plan they show an upgrade prompt rather than disappearing.
What is a staff seat?
A cheaper login for shift workers, R6 a month each on paid plans. It covers clocking in and out, their roster, the jobs and tasks assigned to them, the shop-floor and driver screens, and a kiosk PIN, but no mailbox.
Does the till keep working if the internet goes down?
Yes. The till keeps the catalogue and a queue of sales on the device and sends them through, in order and only once, when the connection comes back. The field app works the same way for jobs, checklists, photos and signatures.
Which payment gateways can my customers pay through?
Your own PayFast, Yoco, Ozow, Paystack or Stripe account. Payments go straight to you, your keys are stored encrypted, and card details are typed on the gateway's page, so Workpool never sees or stores them.
Do I need my own AI account?
No. AI is built in, with a daily allowance on every plan and top-ups if you need more. You can also connect your own AI provider if you prefer.
Is there a phone or desktop app?
Yes. Workpool runs in your browser, on Android and iPhone, and as a desktop app for Windows, macOS and Linux.
How is my data protected?
Every workspace's data is kept apart from every other's. Mailbox and gateway credentials, sensitive intake answers such as medical details and ID numbers, and message content are encrypted at rest with AES-256-GCM, and access to sensitive records is logged. See the privacy policy for the details.
